Explain how you plan to use the images
Wanting a personal photograph is different from planning a promotional film or recording a technical demonstration. Explain your intended use when enquiring and ask what permissions are required from the organiser, venue and instructors. Do not assume that a private booking means unrestricted filming. The answer may affect the proposed programme, equipment or timing, so it is better addressed in the initial brief than after a camera team arrives.
Respect everyone’s photography preferences
Ask participants about their preferences before the event, with appropriate attention to children and accompanying guardians. For a corporate group, make the photography plan clear so nobody discovers their expected involvement during the activity. Discuss how someone who does not want to appear can be accommodated, then confirm whether the proposed setting supports that arrangement. The organiser’s permission and a participant’s comfort are separate questions, and both deserve a specific answer.

Keep filming within the agreed session
Ask when photography can happen and whether any planned recording would interrupt instruction or require extra arrangements. A technical visitor should request permission to record explanations rather than assume all teaching material is available for reuse. Afterward, follow the conditions agreed for storage, editing, sharing and attribution. If the intended use changes, return to the organiser before publishing. With the permissions and timing settled, your group can enjoy the experience and take home photographs to remember it by.
