Allow time for the full experience
The private programme is approximately ninety minutes. Ask which activities and practical tasks are included in that period before placing the session between other reservations. Arrival instructions, changing arrangements and departure expectations deserve their own attention. If the client has a fixed lunch, train or appointment afterward, state that constraint early. It is easier to assess a proposed schedule while planning than to compress the experience after the booking is confirmed.
Plan from actual locations
In Tokyo, the private ring option is at Heiwanomori Park in Ota, with the venue confirmed for each booking. In Osaka, the programme location is KG Building, 14-13 Ishigatsujicho, Tennoji, described as about eight minutes by train from Namba. Neither fact represents a complete journey from a hotel door. Check the exact route and meeting point, accounting for station access, walking and the needs of the party rather than using only the train segment.

Give the rest of the day room to breathe
Choose the surrounding itinerary after the supplier confirms the format and timing. Families, visiting coaches and large groups may need different preparation and arrival arrangements, even when their sessions are a similar length. Ask the client what they want from the rest of the day and avoid stacking commitments simply because the activity looks short on paper. Share a final schedule that distinguishes confirmed times from estimates, and make sure the person accompanying the party understands those distinctions.
